Syntria Labs ("we," "us," or "our") operates the website syntrialabs.com and provides AI assistant services to commercial real estate brokers. This Privacy Policy explains how we collect, use, and protect information, both yours as our client and that of the people whose details reach us through your work.
Information We Collect
We collect information you provide directly to us, including:
- Contact information (name, email address, phone number, licence number)
- Business information (firm name, market, listings, branding)
- Property and deal material you send us, such as rent rolls, operating statements, leases, comparables, target lists and valuation inputs
- Contact records for owners, tenants and prospects that you provide or that we file at your direction
- Call data where we answer your phone line (caller phone numbers, recordings, transcripts, and the message taken)
- Lead submissions from valuation pages and property websites we operate for you (name, email, phone, and which property they viewed)
- Where you have granted it, content from an email account or other system you have connected, accessed only to perform the specific work you asked for
- Payment information processed securely through Stripe (we do not store card numbers)
Information About Other People
Much of what you send us is about third parties, including property owners, tenants and prospects. We act on your instructions in respect of that information. We use it only to do the work you have asked for, we do not sell it, we do not use it to market to those people on our own behalf, and we do not use it for any other client. You are responsible for confirming you are permitted to share it with us.
How We Use Your Information
We use collected information to:
- Prepare the work you have asked for, such as valuations, mailers, models, drafts, audits and property websites
- Operate the phone line and the property pages we run on your behalf
- Send you leads, summaries, drafts and the weekly record of what ran
- Process payments and manage your subscription
- Respond to inquiries and provide support
We never use your files, your deals or your clients' information to train a public AI model, and we never sell, rent or share them. Your material is used for your work and nothing else, and it is not pooled with any other client's.
Optional Access to Your Email or Other Accounts
Some optional features work inside an email account or another system of yours. This access is never required and is only ever enabled because you chose to enable it.
- It is used solely for the specific work you asked for, and for nothing else
- Any credential is stored with restricted access, is never shared with a third party, and is never used to send anything without your approval
- You may revoke it at any moment, including by changing the credential yourself, and we will confirm when access has ended
- On request, or on termination, we delete anything retrieved through that access
SMS Messaging Privacy
If a caller affirmatively opts in during an answered call to receive service-request text messages from Syntria Labs, we use the caller's mobile number and consent record only to provide the requested transactional customer-care communication. An unanswered call, silence, a decline, or a hang-up before affirmative consent does not authorize an automated text. Message frequency varies, usually one to three messages per service request. Message and data rates may apply. Mobile information and text messaging originator opt-in data and consent will not be shared with third parties or affiliates for marketing or promotional purposes. Call Data & Recordings
Where we answer your phone line, calls may be recorded and transcribed for quality and service delivery. Call data is used to give you summaries and lead alerts. We retain call data for the duration of your subscription plus 30 days after cancellation. California is a two-party consent state, and the service can be configured to disclose recording to callers.
Third-Party Services
We use the following third-party services to operate:
- Retell AI: AI voice agent processing, call handling, and transcription (including its underlying language-model and telephony sub-processors)
- Twilio: Phone number provisioning and call routing
- Stripe: Secure payment processing
- Postmark: Transactional email delivery
- Vercel: Website and API hosting
- Google: Form and spreadsheet capture of leads from valuation pages, where that is how your capture is set up
- Click2Mail: Print and postage fulfilment for direct mail you have approved
- Anthropic: the AI that reads your documents and drafts your work product. Your material is sent to it only to do your work, and is never used to train any model.
Each of these services has their own privacy policies governing data they process.
Data Security
We implement reasonable security measures to protect your information. Payment data is processed entirely by Stripe and never touches our servers. API communications use HTTPS encryption. Credentials you provide for optional account access are stored with restricted access and are never placed in a code repository or shared with a third party.
Data Retention
We retain your business and contact information for the duration of your subscription. Call data is retained for the duration of your subscription plus 30 days. Property and deal material is retained while we are working for you. You may request deletion at any time, and on termination we return your files and delete our copies on request.
Your Rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Opt out of non-essential communications
- Withdraw any account access you previously granted, at any time
California residents have additional rights under the CCPA, including the right to know what personal information is collected and to request its deletion. We do not sell personal information as that term is defined by the CCPA.
Cookies
Our pages do not use advertising cookies or third-party ad trackers. Valuation pages we operate for you record whether a card was scanned and whether the valuation was unlocked, so the broker knows who to follow up with. That data goes to the broker, and is not sold.
Children's Privacy
Our services are not directed to individuals under 18. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify active clients of material changes via email.
